Provide administrative support to our Purchasing Managers by maintaining database systems, keeping all contract details up-to-date and accurate and liaising with suppliers

This role is based in Farnborough, Hampshire with 2 days per week in the office. Our office is within walking distance of the train station and has free parking. This is a full-time position, however work life balance is important to us and so we are open to discussion on flexible working patterns (minimum 4 days per week).
Salary: £30,000 - £32,000 p.a. + bonus
About the role:
The Purchasing Executive/Administrator provides essential administrative, coordination and data support to the purchasing team, enabling the managers to operate efficiently and effectively. This role focuses on accuracy, organisation and process discipline, supporting purchasing activity across the business by maintaining systems, liaising with suppliers, and ensuring information is timely and reliable. It is a hands-on support role, well suited to someone who enjoys managing detail, keeping processes running smoothly and working closely with others. Key responsibilities:
Maintain accurate records of contracts, rates, terms, supplements and conditions.
Ensure contract information is correctly reflected across internal systems and documentation.
Support the management of contract timelines, renewals and amendments.
Maintain version control and audit trails for commercial documentation.
Maintain trackers and summaries relating to supplier contracts.
Support with data preparation for reviews, trading discussions and planning.
Assist with checking calculations, rates and commercial details for accuracy and consistency.
Highlight discrepancies, missing information or risks to managers.
Respond to routine queries related to contract details and commercial information.
Support compliance with internal governance, documentation and audit requirements.
Maintain supplier sustainability records.

Experience in a contracts, commercial, product or administrative support role.
Exceptional attention to detail and accuracy.
Confident working with data, rates and structured commercial information.
Strong organisational skills with the ability to manage multiple tasks.
Good working knowledge of Excel and business systems.
Experience supporting hotel, accommodation or travel product contracting is desirable.
Collaborative and responsive when supporting internal stakeholders.
